Refund Policy

This policy explains how subscriptions, cancellations, and refund requests are handled for ProcurPilot.
1. Subscription Billing
ProcurPilot is offered as a subscription. Fees are billed in advance for the selected billing period (monthly or annually) via Razorpay. Your subscription renews automatically at the end of each billing period unless you cancel before the renewal date.
You will receive a payment confirmation by email each time a charge is made. If you have questions about a charge, contact us before the next billing date.
2. Free Trial
Where a free trial is offered, no payment is required during the trial period. If you do not cancel before the trial ends, you will be automatically charged for the plan you selected when signing up.
Trial periods are offered once per organisation. Creating additional organisations to obtain further trials is a violation of our Terms of Service.
3. Cancellation
You may cancel your subscription at any time. After cancellation:
- You retain full access to the Service until the end of your current paid billing period.
- Your subscription will not renew and you will not be charged again.
- We do not delete your data immediately on cancellation — refer to our Privacy Policy for retention details.

4. Refunds
Subscription fees are generally non-refundable. We do not issue prorated refunds for unused time remaining in a billing period after cancellation.
We may consider a refund at our sole discretion in the following limited circumstances:
- You were charged in error — for example, a duplicate charge or a technical billing failure on our side.
- The Service was completely inaccessible for a significant continuous period due to a failure on our part, and the issue was reported to us within the billing period.
To request a refund under these circumstances, contact billing@procurpilot.com within 14 days of the charge, including your account email, the transaction date, and a brief description of the issue.
Approved refunds are processed back to the original payment method. Processing time depends on your card issuer and Razorpay's processing schedule.
5. Plan Changes
Upgrades take effect immediately. Any difference in cost will be reflected in your next billing cycle.
Downgrades take effect at the start of your next billing period. No credit or refund is issued for the remaining days of the current period on a downgraded plan.
6. Billing Disputes and Chargebacks
If you believe a charge is incorrect, please contact us before initiating a chargeback with your card issuer. We will investigate and resolve billing disputes in good faith and typically respond within 5 business days.
Chargebacks initiated without first contacting us may result in the immediate suspension of your account pending resolution.
